This policy must be reviewed against EAIPAM's final payment process, service-delivery commitments and applicable consumer-protection requirements before commercial launch.
1. Scope of this policy
This Refund Policy applies to payments made for EAIPAM manuscript assessments, including Reference Integrity Audit, Plagiarism & Similarity Analysis, Comprehensive Manuscript Analysis, report-generation services and related paid services.
Refund eligibility depends on whether processing has started, the reason for the request and whether EAIPAM has delivered the purchased service.
2. Refund before analysis begins
A user may request cancellation and a refund before EAIPAM begins processing or analysing the submitted manuscript.
Where the request is accepted, the amount paid will ordinarily be refunded to the original payment method, subject to:
- Applicable law.
- Payment-gateway processing limitations.
- Any non-recoverable transaction charges clearly disclosed before payment.
An assessment will be treated as having begun when substantive work starts on the purchased service. Depending on the service, this may include reference extraction or verification, plagiarism and similarity assessment work, manuscript parsing, claim assessment, scientific or evidence review, report preparation or another substantive assessment operation.
For Comprehensive Manuscript Analysis, commencement of either the Plagiarism & Similarity component or the EAIPAM integrity-assessment component will ordinarily mean that substantive processing of the purchased service has begun.
3. Payment after analysis begins
Once substantive manuscript processing or assessment work has begun, the payment will generally become non-refundable because analytical, verification, editorial, technical or other service resources may already have been committed or used.
This limitation does not prevent a refund, service credit or re-analysis where:
- EAIPAM is unable to complete the purchased assessment.
- A material technical failure produces no usable report.
- The user was charged more than once for the same order.
- A refund is required under applicable law.
4. Corrupt, unreadable or unsupported files
Users are responsible for uploading a readable manuscript in a supported file format.
If a file is corrupt, password-protected, empty, incomplete or cannot be processed, EAIPAM will ordinarily request a replacement file before beginning the assessment.
The user should provide a usable replacement within seven calendar days of receiving the request, unless a different period is communicated.
If analysis has not begun and no usable replacement is provided, EAIPAM may cancel the order and refund the eligible payment amount.
If the problem results from an undisclosed restriction or defect in the user's file after substantial processing has already occurred, EAIPAM may offer re-submission or service credit instead of a full refund.
5. Duplicate payments
A verified duplicate payment for the same assessment will be refunded to the original payment method.
The user may be asked to provide:
- The order or submission number.
- The payment date and amount.
- The relevant transaction identifiers.
- Evidence showing that more than one payment was completed.
6. Failed or incomplete assessment
If EAIPAM cannot complete the purchased assessment because of an internal technical, operational or processing failure, the user may ordinarily choose between:
- Re-performance or re-analysis of the affected assessment at no additional charge.
- An equivalent service credit.
- A refund of the amount paid for the affected assessment.
EAIPAM may first attempt to correct the failure and complete, repeat or otherwise remedy the affected assessment where this can be done without materially disadvantaging the user.
7. Incomplete or technically defective reports
If a delivered report is materially incomplete, corrupted or otherwise unusable because of a verified EAIPAM technical or operational failure, the normal remedy will be correction, replacement or re-performance of the affected assessment without additional charge.
A refund may be considered where EAIPAM cannot provide a usable corrected or replacement report.
Disagreement with an editorial observation, similarity percentage, source match, risk score or professional interpretation does not by itself establish that the service failed or create an automatic right to a refund.
8. Delayed reports
Estimated delivery periods are service targets unless EAIPAM expressly confirms a guaranteed deadline in writing.
A minor delay does not ordinarily create an automatic right to a refund.
If delivery is materially delayed beyond the stated period and the purchased assessment has not been completed, EAIPAM may offer:
- Continued processing with an updated delivery estimate.
- Priority completion.
- A service credit.
- Cancellation and an appropriate refund where the service can no longer reasonably be delivered.
9. User-caused delay or failure
A refund may not be available where EAIPAM cannot complete the service because the user:
- Failed to provide a readable manuscript.
- Failed to respond to a necessary request for information.
- Submitted inaccurate or incomplete order information.
- Withdrew the manuscript after substantive assessment work had begun.
- Uploaded material without the necessary authority.
- Violated the Terms of Service or Acceptable Use Policy.
EAIPAM may still provide a partial credit or another reasonable remedy depending on the circumstances.
10. Reference-verification limitations
A reference may be unavailable, inaccessible or unverifiable because of incomplete metadata, database limitations, access restrictions, indexing delays or errors in the submitted bibliography.
The inability to verify every reference does not mean that the purchased service was not delivered, provided that EAIPAM performed the defined assessment and communicated relevant limitations.
11. Changes requested after completion
The original payment covers the manuscript version submitted for the purchased assessment.
Assessment of a substantially revised manuscript, additional chapters or newly supplied material may require a new order or an additional fee.
Correction of an established EAIPAM processing error will not require an additional payment.
12. Subscription refunds
EAIPAM does not currently offer a commercially active subscription service unless one is expressly displayed and purchased through the platform.
If subscriptions are introduced, the applicable plan page and Cancellation Policy will explain:
- Renewal frequency.
- Cancellation procedures.
- Treatment of unused credits.
- Whether partial-period refunds are available.
13. Promotional credits and discounts
Promotional credits, complimentary assessments and discount codes have no cash value unless otherwise stated.
Refunds for discounted purchases will not exceed the amount actually paid by the user.
14. How to request a refund
A refund request should include:
- The account holder's name and registered email address.
- The assessment or submission number.
- The payment date and amount.
- The reason for the request.
- Relevant screenshots, transaction information or supporting records.

15. Review of refund requests
EAIPAM may review the order, manuscript-processing status, payment records, technical logs and communications before deciding a refund request.
Additional information may be requested where reasonably necessary to verify the transaction or determine what processing has occurred.
The user will be informed whether the request has been approved, rejected or resolved through correction, replacement, re-performance, re-analysis or service credit.
16. Refund processing period
Approved refunds will ordinarily be initiated within seven to ten business days.
The time required for the refunded amount to appear may depend on the payment gateway, bank, card issuer or original payment method.
Refunds will normally be returned to the original payment method unless another method is required by law or agreed in writing.
17. Chargebacks
Users should contact EAIPAM before initiating a payment dispute or chargeback so that duplicate payments, technical failures and refund requests can be investigated promptly.
Fraudulent or abusive chargebacks may result in account suspension and recovery of reasonable costs, subject to applicable law.
18. Statutory rights
Nothing in this policy removes or limits a right or remedy that cannot lawfully be excluded under applicable consumer-protection or other legislation.
Where this policy conflicts with a mandatory legal requirement, the applicable legal requirement will prevail.
19. Changes to this policy
EAIPAM may update this policy to reflect changes in its services, payment arrangements or legal obligations.
The policy applicable to an order will ordinarily be the version displayed when the order was purchased, unless a later change is required by law or is more favourable to the user.
